I've made 35 room reservations at the Chateau and one at the Regency for Richard, so that part of the job is done. You might call them to let them know you are taking over and make sure that there aren't any problems. You will see two work sheets in this spread sheet. The first is the form that I had people fill out. Then after each meeting I'd enter the names I have and print it out and use that as the fill out form for the next meeting. You will also need to get a team list from the Rector to make sure you have all of the peoples names. After the last team meeting, prior to the walk, I took the overall list of people and made assignments for the people that didn't make a request.

I then faxed the list to the hotel, asked them to make the room assignments, and had them fax it back to me. Once I got the room numbers, I added that to the list and printed it out and brought it to the meetings in Gatesville. You will get some people griping at the meeting ... had some not show up, some want to be by themselves, some come unexpected, normal last minute requests that you have to deal with. I brought my lap top to the team meeting so that I could make the requests. Printed the list on Data control 's printer. I'll have my laptop at the walk if you need to use it there.

To make it easier for people to find their room, I then took the list and sorted it by name and developed the second list ...have to sort the list twice ....once on the first name and then on the second name to develop the second list, but not too difficult. That is the second sheet in the file. Quite frankly, I don't think that this is necessary, but did it anyway.

You need to track the folks at the Chateau very carefully. They have a tendency to drop the ball so you will need to check and recheck on them.
